<br /> <br />The Washington Township Board of Trustees met in Regular Session on February 7, 2005, at <br />7:30 p.m. at the Washington Township Government Center, 8200 McEwen Road. President <br />Snyder led the Pledge of Allegiance. <br /> <br /> <br />MINUTES OF PRECEEDING MEETINGS <br /> <br />It was moved by Mrs. Young, seconded by Mr. Blair, that the Board approves the minutes of <br />the Regular meetings held January 3, 2005, and January 10, 2005, and the Workshop held <br />January 24, 2005. <br /> <br />Vote on Motion: Young, aye; Blair, aye; Snyder, aye. M2005-033 <br /> <br />CLERK’S BUSINESS <br /> <br />Special Check Register <br /> <br />In December of 1993, the Trustees approved a special check register designation that allows <br />the Clerk’s Office to prepare a check register and issue checks prior to Trustee approval at a <br />regular meeting, in order to avoid late charges and take advantage of discounts. At that time <br />the limit was set at $10,000.00 per check register. Due to the large amount of invoices the <br />Township receives from various vendors, including utility companies, Township credit cards, <br />and vendors connected with the Quarterly, the Clerk’s Office has to do more than one special <br />check register to take advantage of discounts and to avoid late fees. Staff at this time is <br />recommending that selected high volume vendors, who necessitate most of the multiple <br />special check registers, be approved by the Trustees for an unlimited amount. <br /> <br />It was moved by Mrs. Young, seconded by Mr. Blair, that the Board approves allowing the <br />Clerk’s Office to prepare a check register and issue checks prior to Trustee approval at a <br />regular meeting for certain vendors. This approval is needed in order to avoid late charges, <br />take advantage of discounts, and due to emergency situations where pre-approval cannot be <br />obtained due to the timing of the next regular Trustee meeting. The vendors to be included <br />are: <br /> <br />Dayton Power & Light <br />Sam’s Club/Wal-Mart <br />Speedway <br />Township’s Visa accounts with Bank One <br />Vectren <br />Montgomery County Water & Sewer <br />C & O Printing <br />Sterling Paper <br />Miami Valley Lighting <br /> <br />Vote on Motion: Young, aye; Blair, aye; Snyder, aye.
